Today, the average business person sends and receives around 90 messages a day. There are some important things to remember about using email. Your prospects choose to use email because they are busy and don't want any interruptions. They probably don't have time for chatting, but want to know about your product or service. Here are some guidelines for e-mailing.
Reply to your prospect quickly. Your prospect wants to know what you can offer them as soon as possible. You might not be able to reply to them instantly, but you do need to respond quickly. Try to reply within the same day, or at least in 24 hours. When you respond quickly with their information, it makes them more likely to do business with you.
Always make a reference to your prospect's original message. This will help them remember what request you are responding to. Make it as simple as possible for your prospect to know what your message is referring to. This will help decrease the possibility that they might delete your message before reading it.
Keep your emails brief, but detailed. Your prospects want information, but they don't want to read pages of text. Fill your email with just enough information to help them make a buying decision. Don't overwhelm them with too much information. Just say what needs to be said. You can give them more information in following emails.
Remember to include more contact information. Even though your prospect will have your email address, always include your phone number, fax, address, or cell phone numbers as well. Your prospects will appreciate that they can reach you in other ways, if necessary.
