The Top 10 Power Tips for Microsoft Outlook 98

Microsoft Outlook is an all-in-one email, calendar, group scheduling, notepad and to-do management tool. To squeeze the absolute maximum from this powerful tool, give these "power tips" a try!

1. Read emails without opening them.

Taking the time to open each email can be time-consuming (especially on slower machines). Choose "Preview Pane" under the View menu, and breeze through your messages!

2. Turn your incoming email messages into tasks or appointments.

Grab an email and drag onto the Calendar Folder icon on the Outlook bar and voila! - youve created a scheduled appointment with the person who sent you the email. By dragging the email onto the Tasks Folder Icon you can also create a task associated with the sender.

3. Make your truly important email stand out.

If you want to make sure that email from a certain person (the boss or a top customer) captures your attention first, click the Organize button. Choose the Using Colors option, and pick a color for that persons messages. Then click apply color. Now that persons emails will be color coded.

4. Find Contacts Fast!

To quickly find someone in your contact file from the Outlook Today page, just type in the first couple of letters of the persons last name and press Enter. All contacts beginning with those letters will be displayed.

5. Quickly add an email sender to your contacts list.

Right click in the senders name in the From field and choose Add to Contacts. Done!

6. Move quickly between frequently visited folders.

If you find that you need to move between different folders often, try opening each in a different window. Select View/Folder List and then right-click on the folder you would like to open and choose Open in New Window.

7. Save time entering contacts from the same company.

Open a contact who works for the same company as the others youd like to create. Select the "Actions" Menu and choose New Contact from the Same Company.

8. Enter appointment times in record speed.

When entering times for appointments, enter 2p instead of 2:00 p.m. Or try 345p instead of 3:45 p.m.

9. Flag your messages for follow up.

Right click an email message and select Flag for Follow up. You can then set a preference to have Outlook remind you at a certain time to take a particular action on a message.

10. Learn some shortcuts.

Ctrl-Shift-I opens the Inbox; Ctrl-Shift-B opens the Address Book; Ctrl-Shift-O opens the Outbox; While in the In-Box Folder: Ctrl-N creates a new mail message; Ctrl-R will reply to the currently selected message; Ctrl-M will check for new mail.
